Chairperson’s Report - Annika Acheson

Winter actvity – the pool sessions continued with the new format this year. Numbers remained restricted to 8 paddlers per session with poolside support. Access to booking was through the members only Facebook page with advance payment of £10. This allowed space for sea kayaks and/or river boats. Attendance was good, feedback was very positive and pool costs were covered. Some sessions were lost owing to non-attendance following booking, reducing opportunities for other paddlers. Some members also requested club sea kayaks and did not attend to use them. This year advance payment on booking will be policed more strictly. Refunds can be made if sufficient notice is given to fill the slot with someone else.

Some Tuesday evening mountain biking took place in the autumn. No interest has yet been expressed in continuing the rides this year.

Stuart Picken organised a kayaking movie night and supper on 3rd October which was well attended and successful.

Coaching and training - 3 weekends of subsidised sea coaching were organised this year. 2 were with Alison French at Plockton in April, one for intermediate (6 attended) and one for more advanced paddlers (5 attended). The third weekend was run by Matt Haydock and took place at Cromarty and Findhorn. This was for newer and improving paddlers and 6 attended. The committee felt that the session with Matt Haydock had the most impact on subsequent attendance and confidence over the summer.

A whole day Tidal Planning and Coastal Navigation Training Day delivered by Alison French at Hopeman Memorial Hall at the end of March. 17 attended and feedback was very positive.

An afternoon training session on boat rigging , deck tows, PLBs/Radios etc was organised and delivered by Paul and Louise Coleby on 18th May. This was well attended and provided a lot of practical advice.

An evening on the RNLI lifeboat at Buckie was arranged in early August. This was very informative and may lead to some joint training sessions in future.

Sea Kayaking Actvities – Tuesday evening paddling has continued. Some weeks have been limited by poor weather conditions, but it has been good to see a larger number of members contributing to organisation of these this year, particularly as some regular members were unable to attend later in the summer.

There were 4 planned club trips.

  1. Sandend - this was arranged for mid August, but few planned to attend and weather conditions at the time meant alternative plans were needed.

  2. Arisaig – June 16th -18th. Sunnyside Croft Camp Site. The weather for this trip was excellent allowing a return sea crossing to Eigg by 7 paddlers on the Friday and a further day paddle interrupted by a thunderstorm on the Saturday.

  3. Cuan – few attended as the weather forecast was very poor. No peer paddles took place as a result of the combination of poor weather, limited experience of the group and challenging tidal conditions. Maurice did, however, do some solo paddling.

  4. Aultbea (organised by Helen Moore) – 6 paddlers enjoyed an early September weekend staying at Ronnan Hut (women’s mountaineering club) on Loch Ewe which has direct access to the water. Weather conditions on the Saturday limited activity to a local paddle on the bay but improved on the Sunday activity to allow a paddle round Gruinard Island.

Local competitve events

4 members (Iain Findlay, John and Irene Berrill and Sandy Forbat) paddled in the Nairn Moray Sea Kayak Challenge and John, Irene and Sandy won the team trophy. Sandy also won the Women’s Sea Kayak Trophy.

River paddling report - Cynthia Mackay

River paddlers started meeting on Wednesday nights at Knockando from April onwards with good weather at the start of the year. A small group have been going out on the Findhorn at the weekends. We have a couple of new members and looks like a few more members possible next year.

Liability Issues – following changes last year, we continue to require full SCA membership. We organised a tidal planning day, coaching aimed at new and less experienced paddlers and practical boat rigging sessions to reduce risk on peer paddles.

Current plans – to consider subsidising hire of a guide for weekend trips next year (rather than more advanced coaching) to maximise opportunities if less experienced kayaker are present. River kayakers need to become more involved and let us know what their needs are.

Treasurer’s Report - Cynthia McKay

Opening Balance at start of year 30 June, 2022.    £5391.66

Closing Balance at end of year 30 June, 2023        £4828.34

Expenditure Total - £4,344.32

Overspend - £563.32

Report from Equipment Officers

Ageing equipment and equipment storage discussed at length bringing up a few key points for future discussion and decision making by the new committee.

Including:
Club trailer, with maintenance issues, currently stored outside.
Four sea kayaks available for use by club members, issues with skegs, glues, kit (are these serviceable?) Should we replace boats?
Transportation of boats - this is now arranged by whoever uses boat.

Paddling safely, ability, new member ability, touching on accountability also discussed.

Including:

Support on water for less able paddlers. Buddy system proposed as an idea.
Role of club - ie paddles as a group of able paddlers or as a club providing a *leading and teaching facility (*this is currently not the case as we do not have any qualified leaders or coaches).

Noted: peer paddles are not appropriate for novices. New less experienced kayakers are directed to the Club Pool Sessions at Moray Leisure, these are held during the winter, any on the water sheltered safety drill sessions and, if appropriate, to a dedicated beginner/intermediate training course elsewhere.

NB: The club have been active in providing safety on the water information, arranging coaching and training through third party sources such as *Alison French (Sea Kayak Plockton) and **Matt Haydock, to allow members to take responsibility and make fully informed choices as to their capabilities and to independently assess conditions before committing to a paddle on the water, whether on a Tuesday or Wednesday evening or a club trip.

(*CNTP Day, On the water Intermediate and Advanced Kayak Training Weekends, **Beginners Training Weekend)

Chairperson’s Report

Annika Acheson

Winter activity - the pool sessions ran with a new format this year. Numbers were restricted to 8 paddlers per session with poolside support. Access to booking was through the members only Facebook page with advance payment of £10. This allowed space for sea kayaks and/or river boats and provided an excellent opportunity for sea paddlers to practise drills and self rescues after time off the water during the pandemic. A smaller number of river paddlers attended. Attendance was good, feedback was very positive and pool costs were covered.

Tuesday evening mountain biking continued through the winter mainly at Culbin or Roseisle with occasional rides from Rafford.
Coaching - 2 weekends of subsidised sea coaching were organised with Alison French in early April. The first at Findhorn was for improving paddlers and a second weekend for a more experienced group took place at Plockton. 5 paddlers attended each session.  There has been no further formal club coaching but a subsidised guided day paddle was arranged with Kayak Summer Isles for one day during the recent Achiltibuie weekend trip.

Sea Kayaking Activities – Tuesday evening paddling has been limited by windy weather conditions this year and some alternative evening days and local weekend paddles were arranged to increase activity. In total there were 8 Tuesday evening paddles, one Monday evening paddle and 5 local paddles on Saturdays and Sundays. 2 early evening wet skills sessions were arranged prior to Tuesday paddles at Hopeman high tide to teach capsize and rescue drills for new paddlers who had not attended the pool sessions. A small group of individuals (Mark Palmer, Annika and Rob Acheson, Sharon Morris) have arranged most of these. There have been 4 club trips.

  1. Pembrokeshire (organised by Dave Hughes). 11 paddlers and 4 non-paddlers went to Pembrokeshire in late April, based at Newport and St David’s. 4 paddling days took place along with coastal walks, swimming, cycle rides and a lot of social activity.

  2. Sandend (organised by Dave Hughes). This weekend was moved to mid August for camp site availability and 9 paddlers attended. Activities were restricted by windy conditions but allowed an evening sea paddle, surf practice, swimming and a walk to Port Soy for ice cream.

  3. Aultbea (organised by Helen Moore) – 8 paddlers enjoyed a late September weekend staying at Ronnan Hut (women’s mountaineering club) on Loch Ewe which has direct access to the water. After a long day paddle on the Saturday, stormy conditions limited Sunday activity but provided an opportunity to practice rescue drills in rough conditions in a safe area of the bay.

  4. Achiltibuie. This was a weekend based at Port A Bhaigh camp site October 22nd and 23rd. Seven paddlers enjoyed excellent weather conditions and 2 day paddles. The Sunday trip was led by local guides with a wealth of local knowledge, enabling a long day tour of the northern Summer Isles

Local competitive events

Sharon Morris won the womens sea kayak event in the Nairn Moray Sea Kayak Challenge.

River paddling report – Cynthia Mackay - 2-3 members and other individuals have been paddling regularly at Knockando on Wednesday evenings throughout the summer occasionally alongside paddlers from Nairn club.

Liability Issues – these have been discussed at length over the past year. As the club has no currently qualified coaches for trips, we are not covered by affiliated club membership. As a result the committee made the decision that all club members should hold individual SCA membership to take part in club activities. Active members have done this and membership fees will be adjusted for the next year to take this into account. Similar discussions have taken place regarding hire of equipment and we have agreed that club equipment will only be used for club activities and that payment will be termed a contribution to wear and tear and maintenance. This decision has rendered the current hire policy effectively redundant and it will be withdrawn.

The membership form has been revised to incorporate these changes.

Equipment – an update of the current inventory is ongoing to document available kit and it’s location. The sea kayaks are still being stored by Annika and Rob who are currently also maintaining, cleaning and transporting kayaks. Maurice has helped with repair of a broken skeg.

Club membership has been reduced from £40 to £25. (Adjusted down to accommodate the cost of SCA Membership which is mandatory for all members).

Club boats and equipment are available for club activities only (£10 donation towards wear and tear). Peer paddles become a club activity if information is posted on the members Facebook page. Boats are available for collection from Rob and Annika’s - own transport required. Options for transporting boats in the future to be discussed later by the committee.

Cynthia has negotiated an £80 cost per night for pool sessions for Jan/ Feb/ Mar 2023 with Moray Leisure.

PVG assessment/validation discussed. Sharon will find out what is needed for this. In view of

anticipated updated PVG information during 2023/2024 we expect SCA should circulate info / changes as appropriate and current thinking is to wait and see.

Club Funds
Possibility of subsidised coaching with eg Alison French, Ali Duff and or guided coaching days. Our Achiltibuie guided day last weekend was very worthwhile.

Charity Donation
A donation of £100 to MIRO was agreed. We will wait until new memberships go ahead in November and reassess funds before going ahead. The committee will decide this at a future meeting.

The minutes of the 2020 AGM held on Zoom were agreed as accurate.

Chairperson’s Report (David Hughes)

Over the winter Alison French had delivered some Zoom training sessions on navigation and tides. Berny Welsh and Alan Thomson gave a Zoom talk on their cycling trip to South America and Paul Kendall had given a Zoom talk on coastal wildlife. The planned live training sessions with Alison French did not take place owing to Alison’s sickness and subsequent lockdown. The planned pool sessions were also cancelled because of lockdown.

There had been a maintenance session to paint the canoe trailer and an equipment cage was added to the trailer for paddles and other kit.

Since the spring there had been 24 evening sea kayak sessions including one night paddle. Attendance had been good. A weekend trip to Sandend took place in June which was also well attended with 2 successful day paddles to Port Soy and Cullen. It is hoped this could become an annual event and will need to be booked well in advance.

Cynthia reported on the river sessions at Knockando. The number of sesssions had been limited this year because of poor weather and high water levels. Typical attendance had been 3-5 each evening. 2 had been joint sessions with Nairn Kayak Club. 1-2 beginners had attended and it had been possible for other members to accommodate and train them. It should be possible to accommodate a maximum of 2 beginners at the river next year.

The Tuesday evening paddle has been replaced by evening bike rides over the winter. 10 pool sessions are planned from January 2022.

Treasurer’s Report (Cynthia McKay) – attached

Election of Office Bearers (Proposed/seconded)

Chairperson – Annika Acheson

Vice Chairperson – David Hughes

Treasurer – Cynthia McKay

Secretary – Anne Thomson

Trailer/equipment – Robert Acheson

Non-office bearers – Paul Coleby, Louise Coleby, Helen Moore, Iain Geddes, Drummond Beattie, Beverley A’Court, Peter Amphlett

Paul Kendall agreed to continue to maintain the website, but not as a committee member.

Any other business

Equipment

Discussion took place on the location of the club river boats. One is with Elliot Sizer (no longer a member) and one with another non-member (Ben). Cynthia is storing one child’s kayak and the other river boats are at the Colbey’s (including children’s kayaks, one Topo Duo and one open canoe). There are also still 2 pool boats with Steven Fraser which he wishes to be retrieved. Paul and Louise indicated they would have space to store these and the river boats.

Pool sessions

These will take place on Wednesday evenings 9-10 pm from January 2022. Extensive discussion took place on how these would run.

It was generally agreed that these would be most effective if the number attending was kept small with clear objectives and learning outcomes. It is hoped that this will allow all sea kayakers to attend at least 2 sessions and work on competence and rescue drills for the 2022 season. We still need to identify a group of 'instructors' (2 to be present each session to train 4 other paddlers in a group of 4) and to ensure 2 other members are present to cover pool side. 2 sea kayaks would probably be sufficient.

For river paddlers, a further 4 kayaks and individuals could be accommodated per session.

Cynthia agreed to set up a booking system which hopefully can be accessed and used electronically.

Payment will be £10 per session. Instructors will not be expected to pay.

The pool sessions will be open to paid-up members only. Once existing members have booked sessions, additional capacity may be available for new members. Further sessions beyond 10 could be booked if needed but would be more expensive as VAT would be payable (this was not considered prohibitive). It will not be possible to accommodate children. This information will be placed on the website.

The next committee meeting will focus on the detail of the pool sessions.

Discussion also took place on the possibility of some harbour training sessions at the beginning of next season.

Coaching qualifications

Cynthia reported that there are currently threefully qualified and one part qualified members.

Training sessions with Alison French

Alan Thomson agreed to contact Alison to see if the proposed sessions from last winter/spring could now be rescheduled. Each member attending would receive a £25 subsidy.

SCA Women’s Training Weekend – Findhorn May 2022

Annika brought attention to this event for anyone interested. Members could use the £25 subsidy towards attending this course if they wished.

Chairman’s report
Very different AGM this year on zoom. Great meeting last year at Anneka and Robs house.
Very different year from a number of perspectives - I will focus on 3 headings.
1. COVID19 update
2. Past year activities
3. Risk assessment
1. Covid update
Currently Moray is in Tier 1
SCA advice states
All Organised Activities* can take place.
This includes activities which could lead to less than 2m distancing from people out-with your
household. Maximum of 30 participants including coaches, volunteers etc. Multiple bubbles of up
to 30 are permitted.
For Informal paddles Activities which maintain 2m distancing can take place. Groups of up to 6
people from up to 2 households (<18 year no limit on households)
No car sharing out-with household and no travel to tier 3 and 4 areas
For club activities we are obliged to minimise risk both for COVID and the activity.
As a club we are following the Scottish Government and SCA guidance which are freely available
online.
Prior to every club activity we require name and contact number of all participants [required for
contact tracing], a few brief questions regarding current health by the COVID officer (particularly
regarding potential COVID symptoms or contacts) and a scanned temperature check (club has 2
thermometers - Alan (sea) and Cynthia (river)). The attendance sheet is kept for 3 weeks before
being discarded.
Several members of the committee have completed the SportScotland Covid officer module.

2. Past Year activities.
Throughout the year Dave Hughes and I have worked together as co-chairpersons and from our
perspective this has worked well.
Committee meetings have been held monthly by zoom and again have worked reasonably well.
If any member would like the committee to address or discuss any topic or if anyone would like to
attend a meeting please feel free to contact any committee member. We wish to be totally
accessible and transparent to all members.
Club activities have continued despite COVID albeit changed.
Encouragingly we have had a large influx of new members over the past year. This has been
exciting and challenging given the restrictions placed upon us. The indoor pool sessions last year
were busy but generally successful. However as a result of COVID restrictions unfortunately we
are unable to run our indoor pool sessions this coming winter but we are arranging exciting
alternatives which Dave will talk about later.
Sea kayaking - we did manage to run our Tuesday evening, mostly Hopeman, sessions regularly
apart from lockdown, and although they started towards the end of the season they worked well.
There were also one or two short trips away but generally these were limited due to restrictions.
River kayaking - river sessions have taken place on Wednesday evenings at Knockando. Due to
COVID restrictions there have only been a few park and play sessions this year until it came too
dark to paddle in the evenings. We have been unable to run trips on the river this year due to
travel/car sharing restrictions.
The club is aware that the restrictions in place have particularly reduced the sessions available for
beginners. However once again we have alternatives lined up which Dave will talk about later.
Thank you to Anneka and Rob for keeping the club trailer and boats and driving them to sea
sessions.
Thank you also to Paul Kendall for running the club website and FB page.

3. Risk assessment comes in 2 flavours
a. COVID-19 risk assessment guided by SCA and mentioned above. This also covers cleansing
and isolation of shared equipment.
b. Kayaking activity risk assessment - currently the committee are developing a risk assessment
plan based on great work and networking by Louise. It looks like we may adopt the BCU risk
assessment document which is clear, simple and practical. This will be published on our
website and laminated copies hopefully will be available as a checklist for those organising
club activities. It is important that club members mention any relevant medical information to
the activity organiser before engaging in the session eg diabetes, anaphylaxis, asthma etc as
this will form part of the risk assessment.

Venue: Rob and Anneka Acheson’s House

Date: Saturday 16 November 2019

Time: 19:00

Committee Present

Paul Coleby, Cynthia McKay, Paul Kendall, Caroline Edwards, Louise Johnson, Alex Keddie, Sophie Keddie, David Coghill,

Members Present

Gail Turnbull, Andy Stevens, Simon Dobbs, Simon Jacyna, Bernie Walsh, David Hughes, Joe Glennie, Sheila Patel, Alan Thomson, Anne Thomson, Steven Fraser, Elliott Sizer, Rob Acheson, Anneka Acheson.

Meeting started 19:30 chaired by Paul Coleby

1. Sea Report

2. River Report

3. Financial Report

4. Pool Sessions

  • Normal pool hire is now £110 per session. Club had always had it for £69 per session. £200 loss to club last winter @ £69 per session. Potential for larger losses this season with hire price increase.

  • Discussed Approaching Gordonstoun to ask availability of pool on Wednesday evenings for next year to keep options open.

  • Discussed club subsidising pool sessions.

  • Discussed an increase in membership to subsidise the pool sessions. Majority of members felt that £10 per pool session was too expensive and attendance may suffer, exacerbating the financial situation caused by the price increase pool hire. Membership fee increase can be mitigated if members attend the pool sessions frequently and paying less each week.

  • Discussed that pool sessions are critical for club skills and safety, social aspect and bringing Sea Kayakers and Rivers Kayakers into one place.

Vote:Members voted to keep pool sessions to £5 per session.

  • Pool sessions to be advertised at the leisure centre. It was felt that the club members would show beginners new skills on an individual and informal basis as previously carried out.

Action:

Dave Hughes to phone Gordonstoun re: pool.

Committee to discuss student membership fee.

5. Membership fee

Vote: Members voted to increase the club membership fee to£40 annually for adults and scrap the Family fee.

  • Paying adult member(s) can have family membership if they wish to involve the children as per the rules of the constitution.

  • Discussed a potential student fee. To be discussed further by committee.

6. Equipment Rental

Vote: Members voted to increase the rental fee for equipment from £5 to £10.

  • A rented boat comes with paddle, spraydeck, pump and paddle float. All items to be returned in the hatch of boat.

  • Bouyancy Aid, cag and neoprene long johns can be borrowed for the season, free of charge from Paul Coleby.

  • Rental of a boat is paid for each day the boat is used. No rent is charged for days it is kept and not used. However, boats are to be returned as soon as possible after use and only stored at Rob’s house on the trailer so that they are always available to all club members.

7. Trailer and Boat Storage
